Scope of this policy

This policy only covers data processed when you visit guide-application.com and use its contact form. It does not describe data processing specific to the Guide app or Guide Portail.

Guide Corp., whose registered office is at 3 rue Sarah Bernhardt, 95130 Le Plessis-Bouchard, France, is the controller for the website data processing described in this policy. For any questions about your data, write to contact@guide-application.com.

The contact form

We process your name, email address, profile if you provide it, the content of your message and information shared in subsequent exchanges. We use this information to receive, understand and handle your enquiry, and to follow up on our exchanges.

This processing is based on Guide’s legitimate interest in responding to people who contact it. Your name, email address and message are required and marked with an asterisk. Your profile is optional. Without the required information, we cannot handle your enquiry.

Your request for a launch notification

If you ask to be notified when the Guide app launches, we use your email address to send you this one-off notification. The button on the launch page pre-fills a message that you can edit before sending. It does not automatically subscribe you to a newsletter.

This notification is sent with your consent, expressed through your request. You can withdraw your consent at any time by writing to contact@guide-application.com, without affecting processing already carried out. The request and subsequent exchanges follow the retention period of six months after the last exchange, as explained below.

Recipients and email services

Your information is available to authorised Guide personnel and, as necessary for their tasks, the technical providers responsible for website hosting and message delivery. The website is hosted through OpenAI’s Sites service. Messages sent through the form are delivered using Resend (Plus Five Five, Inc.), which receives the form fields needed for delivery: name, email address, optional profile and message.

Messages received by Guide are stored in its OVHcloud mailbox, hosted in France. This location applies to the mailbox; it does not guarantee that all technical processing needed to run the website and send the form takes place in France.

Message delivery and transfers outside the European Union

Resend states that it stores message content and delivery logs in the United States. Selecting a European sending region does not change this storage location. Its data processing agreement provides for the European Commission’s standard contractual clauses to govern these transfers; you can read this agreement using the link at the bottom of the page.

Resend’s documentation states that messages and logs are retained for 30 days on its Free, Pro and Scale plans, with backups retained for 7 days. Enterprise plans may have different retention periods. These periods are separate from the retention of messages received in Guide’s mailbox.

How long we keep exchanges

Messages and exchanges relating to enquiries are retained for six months after the last exchange with the person concerned. An automatic deletion script applies this period to the mailbox. This deletion does not automatically extend to data and logs processed separately by technical providers.

Contact form security

Temporary technical counters limit abusive submission attempts. They use technical fingerprints of the email address and, at hosting level, the connection address. Messages are not stored in these counters. The counters added by Guide use a ten-minute window for the email fingerprint and a one-minute window for global and connection-address limits. The email fingerprint is held temporarily in memory; an expired entry is removed on a subsequent submission or when the instance stops. These counters are not a browsing history. This security processing is based on Guide’s legitimate interest in protecting its contact form and mailbox.

Language preference

The website uses your browser’s local storage to remember your chosen language under the technical key guide-locale. This preference remains in your browser until you change it or clear the website’s data. This mechanism does not use it for advertising tracking.

Your rights and contacts

Under the conditions set out in the GDPR, you can request access to your data, its correction or erasure, or restriction of its processing. You can also object to processing based on our legitimate interest on grounds relating to your particular situation.

To exercise your rights, write to contact@guide-application.com. If there is reasonable doubt about your identity, Guide may request only the information necessary to verify it.
